Frequently asked questions

How does the free trial work?

Create your account and you get full access to everything for 15 days — no credit card required. When the trial ends you can still sign in, and all of your backups and settings are preserved, but backups pause until you subscribe. Subscribe any time to pick up right where you left off.

Doesn't Microsoft already back up my data?

Microsoft keeps your services running, but its shared-responsibility model makes your data your responsibility. Retention windows are short, and deleted or corrupted content can be gone for good. Backup365 keeps independent, verified copies you control.

What exactly can Backup365 protect?

Per user: Outlook mail, OneDrive, calendars, contacts, and Teams chats. Per company: SharePoint sites, Teams channel messages, Microsoft 365 group mailboxes, in-place archive mailboxes, and OneNote notebooks. You choose what to enable, per user and per item.

How do backups stay fast as my data grows?

Mail, OneDrive, and SharePoint use Microsoft Graph delta queries, so after the first run only changes are transferred. Snapshot sources skip any item whose version has already been stored.

Can Backup365 write to or change my tenant?

Backups are strictly read-only and never modify your tenant. The only time Backup365 writes to Microsoft 365 is when an owner or admin explicitly runs a restore — and even then, data lands in newly created “Restored” folders, calendars, and contact lists, so nothing existing is ever changed or overwritten. The write permissions that restores use are optional; skip them and Backup365 has no write access at all.

Can I restore data back into Microsoft 365?

Yes. Restore mail (with attachments and original sent/received dates), OneDrive and SharePoint files, calendars, and contacts into any mailbox or OneDrive — the original user’s or someone else’s, like a departed employee’s manager. You can restore everything or filter by backup date, include items already deleted from Microsoft 365, and watch live progress in the portal. Teams messages, group mailboxes, and OneNote can’t be written back through Microsoft’s APIs, so those are delivered by export instead.

How do I get my data out?

Create a date-filtered ZIP export for any user or company item. Mail exports as standard .eml, files in their native formats, OneNote as HTML — plus a JSON manifest with hashes for every item.

Can I search backups and use them for eDiscovery?

Yes. Search & eDiscovery searches every backed-up mailbox, drive, chat, and site by keyword, custodian, source, date, file type, and size — including items already deleted from Microsoft 365. Preview any email, chat, event, contact, or file right in the portal, then deliver an eDiscovery ZIP with native files organized by custodian, CSV/JSON manifests, re-verified SHA-256 hashes, and a chain-of-custody record tied to your matter reference.

What if someone deletes a user account?

Their backups stay in Backup365 for as long as your retention keeps them, even after the Microsoft 365 account is gone. From there you can export a portable copy, or restore their mail, files, calendar, and contacts directly into another account — for example their manager’s mailbox — right from the Restore page.

Do Teams message backups need special approval?

Yes — Microsoft gates Teams message export APIs behind an additional protected-API approval for your app registration. All other sources work with standard admin-consented permissions.
